About "Homestays"

With the generous cooperation of a number of religious organizations, the Congress Secretariat plans to provide "homestay" opportunities at local religious facilities. The Secretariat believes that this will be an economical means of lodging and also allow participants from abroad to experience modern Japanese religion firsthand. We ask that you carefully read and agree to all stipulations (see below) before applying. Please note that we cannot guarantee homestays for all participants, as there is a limited amount of space. The Congress Secretariat reserves the right to make all final decisions concerning the allocation of homestays. Although it is our goal to consider all applications in the fairest and most comprehensive matter possible (order in which application was received, etc.), we ask that all participants kindly respect the finality of the Secretariat's decision. We also ask that you make reservations with a local hotel in the event that we cannot provide you with a homestay.

Brief Overview of Lodging Facilities
The following religious organizations have agreed to provide lodging for Congress participants: Higashi- and Nishi-Hongwanji, Tenrikyo, Konkokyo, Rissho Kosei-Kai. Please note that although it may be possible to tour these facilities, there is no requirement that lodgers must participate in matters of a religious nature. Also, most rooms are Japanese-style (tatami mat) and use futons for bedding. Likewise, most shower and toilet facilities are communal.

In general, all facilities are within one hour of the Congress site (Takanawa Prince Hotel, Shinagawa).

Participants are expected to cover their own travel expenses (train, bus, etc.) to and from the Congress site.

Rules Concerning Lodging

All homestay participants are expected to follow the individual rules and regulations of each facility. Only breakfast (optional) will be provided (note that there are some facilities that are not equipped to provide breakfast). English will be the main language of communication at these facilities. Some facilities may have set times when breakfast is served or when bathing/showering can be done. Please be conscientious in following these rules. The Congress Secretariat will provide a student interpretor in the event that it is deemed necessary to give a detailed explanation of the rules and procedures of a given facility.

Lodging fees differ depending on the facility and the type of room you have requested. We expect that a single night's stay (w/ breakfast) will cost somewhere between 2000-3000 Yen.

Special preference will be given to participants who request lodging for the duration of the entire Congress. In some cases, stays of shorter lengths may be possible.
In the unforeseen event that some sort of trouble or emergency occurs, we ask that you work directly with the management at the facility. However, the Congress Secretariat will assist in the event that such assistance is necessary.


Method of Application

Please make sure to submit your homestay application via e-mail before the September 30th (2004) deadline. Applications can also be faxed or submitted via postal mail, although they must reach Tokyo by the deadline. There is the possibility that we may extend the application deadline if there remains an availability of space after the September 30th deadline.(The Deadline for the application is extended until October 15).

Please apply individually. However, make sure to indicate (section 11) if you desire to be lodged with a specific group or individual. Please list all of the following in your application:

(1) Full Name
(2) Nationality
(3) Sex
(4) Age
(5) Institutional affiliation, position
(6) Title of presentation, panel session, etc.
(7) E-mail address where you can be reached
(8) Specific dates for which you wish to request lodging (Homestays are only being offered during the period in which the Congress is in session, beginning one day before the Congress begins (March 23rd) and ending on March 30th, 2005. Homestays before or after this period will not be possible. We ask for your kind understanding in this matter.)
(9) Whether or not you want breakfast provided (There are some cases where breakfast is not an option. We also apologize for the fact that it is not possible for these facilities to deal with specific dietary preferences)
(10) Single occupancy, double occupancy, triple occupancy, large Japanese-style room for large number of lodgers (We cannot guarantee that we will be able to meet your request)
(11) Name, age, sex of any accompanying persons
(12) Indicate any accompanying persons (spouse, partner, children) who will not be registering for the Congress
(13) Other preferences or concerns you may have

It is our intent to consider all specific preferences that you have indicated in your application, but please be aware that it may not be possible to fulfill all requests.

Payment
Please make all payments at the Congress after you have arrived in Japan. We request that you make a single lump-sum payment in Japanese Yen.

Participants who receive financial assistance from the Congress Secretariat will have all payments deducted directly from their financial assistance.

Confirmation of application and lodging preferences
The Congress Secretariat plans to contact you via e-mail within one week after having received your submitted application. Please note that this is solely to confirm that we have received your application and is not indicative of any final decision concerning homestays.

The Congress Secretariat will comprehensively review all applications and intends to make its final decision after the September 30th application deadline. Applicants should expect to receive word of the Secretariat's decision by late October.
